How To Adjust Contract Reservations

Abstract

Use Adjust Contract Reservations to move space from some stores to others on a draft Dividers Contract. You free periods with Releases and book them with Placements, then Apply. The tool saves the contract as part of Apply.

This is the supported path on large contracts. The Add Stores / Remove Stores buttons on the contract form are gone. You can still edit reservation rows directly on smaller contracts, but swaps on large contracts should go through this tool.

Who can use this?

System Manager, Dividers Contract User, or Dividers Contract Manager.

Before You Start

  • The Dividers Contract is Draft and already saved.
  • You know which reservations to free and/or which stores, surfaces, and spaces to book. See Entering a Dividers Contract if you need a refresher on Face / Edge and Spaces.
  • Replacement stores already exist as Dividers Stores (Active is preferred).
  • You understand purchased vs reserved. Open Analyze Contract Fulfillment if you are unsure.
  • If billing must match the new mix, plan to Generate or Regenerate the Contract Sales Invoice after the adjustment is Balanced.

Which Tool Should I Use?

Goal Tool
Move space from one or more stores to others (swap/replace), optionally with one extension per new store Adjust Contract Reservations (this page). Draft Contracts only.
Add the same extension window to every enabled reservation that can accept it Add a Contract-wide Extension
Turn Continuation back on for stores that had it cancelled, skipping stores that would overbook Re-enable Continuation On Available Stores. Draft only. Save after.
See purchased vs reserved, by chain Analyze Contract Fulfillment
List this contract's stores that are not occupied by another contract from a cycle onward Stores Available For Renewal
Rebuild the Contract Sales Invoice after the reservation mix changed Sales Invoice → Regenerate on this form (only when Balanced)

Disable All Stores is not a substitute

Disable All Stores on the contract Manage menu deselects Enabled on every reservation row. That is not a bulk-replace tool, and saving with zero enabled reservations will fail or leave fulfillment unusable. Use Releases and Placements instead.

Important

Danger

There is no undo. Applying a Release or Placement changes the contract. To put space back, add the opposite rows (release the new store, place the old store) and Apply again.

Do not delete Released or Placed rows. Deleting them does not reverse the contract; it only removes the audit line on this document.

Caution

  • Submitted contracts cannot be adjusted here.
  • You cannot Apply a full release that would leave the contract with zero enabled reservations. Keep at least one enabled row, or place first / use Apply All Pending Adjustments so placements land in the same save.
  • Changing the Dividers Contract field clears both tables. Unapplied work is lost. Do not retarget an in-progress adjustment.
  • Two open Placements on the same store, surface, and spaces may not touch. Overlap or adjacency is an error. Use one Placement row for a continuous block.
  • Continuation on, without Cancel Continuation Pre-Commencement, makes occupancy open-ended. Placing on a store that already has open Continuation on this contract will usually conflict.
  • If someone else saves the contract while you are working, you will be asked to refresh. There is no merge — the last save wins.

Instructions

Tip

Keep track of your place below by clicking on the gray checkmarks.

  • Open the draft Dividers Contract.
  • Click Manage → Adjust Contract Reservations.

    Help

If the contract has never been saved, you will see Save the contract before adjusting reservations.

If an adjustment already exists for this contract, the most recently modified one opens. Otherwise a new document opens with the contract and Period Type filled in.

You can also start from the Cust Accts workspace shortcut Reservation Adjustment, or from Connections → Fulfillment → Dividers Contract Reservation Adjustment.

  • Confirm Contact Summary and Fulfillment look right. Difference should match what you expect before you start. See Understanding Contract Fulfillment.

  • Under Add, click Add Release for each reservation whose space you are giving up. Fill the row as described below, then close the row form.
  • Click the black Save button in the upper-right corner.
  • Under Add, click Add Placement for each replacement store. Fill the row as described below. Default term and Copy Continuation Settings are on unless you uncheck them.
  • Click Save again to prepare your adjustments for application. Pending Adjustments shows how unapplied adjustments will affect Fullfillment if everything is applied.
  • Click Apply → All Pending Adjustments (or Pending Releases, then Pending Placements).

    Important

You must Save first. If the document is new or has unsaved changes: Save the document before applying adjustments.

Apply freezes the form and saves the contract. You will see the same save progress as on the contract form. Wait until it finishes.

  • When the page reloads, Release rows should show Released and Placement rows Placed. Fullfillment will be recalculated, and Adjustment Status will be Balanced if reserved matches purchased.

  • If billing must match the revised list of reservations, use Sales Invoice as described below.

Worked Example: Replace One Store

Contract: 3 stores × 12 cycles purchased = 36. All three original, enabled, length 12. Balanced.

Goal: replace Store A with Store D for the full term.

  1. Add Release: Source = Store A's reservation, Partial Release off. Freed 12, Keep 0. Pending Adjustments: Placements 0 − Releases 12 = −12. Fulfillment is still 36/36 until you Apply.
  2. Add Placement: Store D, matching Store A's surface and spaces (for example Face, 2 spaces). Use Default Reservation Term on → length 12, start = contract start. Pending Adjustments: 12 − 12 = 0.
  3. Save. Apply → All Pending Adjustments. Wait for save progress.
  4. Release row Released; Placement row Placed with a Placement link. Store A's child is disabled; Store D's child is enabled (not original). Reserved still 36. Status Balanced.
  5. If a submitted Contract Sales Invoice exists: Sales Invoice → Regenerate. If none: Generate.

Partial release variant

Keep 4 cycles on A, free 8. Partial Release on, End Cycle = the 4th period in the autocomplete. Freed 8, Keep 4. Uncheck Use Default Reservation Term and set Length to 8 on Store D.

After Apply, A is shortened to 4 (the original row is disabled and a non-original copy is kept) with Continuation cancelled on the copy; D has 8.

Dividers Contract Reservation Adjustment Form

There is no Submit. Save + Apply are the lifecycle. Documents are named ADJ-{contract name}.

If the linked contract is no longer draft, the form is read-only. Existing rows stay visible.

Contact Summary

Left: Contract Info (production number, status, customer, contact, address, date, company, Continuation, partner, sales team, terms, totals).

Right: Store counts by chain — Chain, Orig, Contr., Rel., Plac.

  • Orig: stores with Original Reservation selected (purchased).
  • Contr.: stores with Enabled selected (reserved).
  • Rel. / Plac.: applied releases / placements on this document (shown as −N / +N). Amended contracts also count applied rows from earlier amended versions of the contract, so Rel./Plac. can look high.

Cells show unique store count, or unique/all when they differ.

Fulfillment

Same live panel as Analyze Contract Fulfillment. Purchased is original reservations; Reserved is enabled reservations. Both are period counts, not dollar amounts.

See Understanding Contract Fulfillment.

Pending Adjustments

Placements − Releases = Total using open rows only (Pending, Error, or blank). The Releases sum is taken from the Freed column; Placements is taken from the Length of Placements' reservation term.

Note

A net-zero Pending card is not the same as Balanced. Applying adjustments with a net change of zero will leave unbalanced contracts unbalanced.

Adjustments

Releases Table

Open a row (Add Release, or the expand control) for Partial Release and errors. The grid shows Source Reservation, Surface, Spaces, Freed, Keep, Released On. A dagger (†) on a row means that reservation has a contract extension; a double dagger (‡) means it has a Continuation extension.

Source Reservation
Required. Enabled reservations on this contract that aren't already on another open release.
Partial Release
Off = free all periods (Freed = full length, Keep = 0). On = keep the first part of the reservation and free the tail.
End Cycle / End Date
Visible only if Partial Release is on. Pick an inclusive period end from the autocomplete, which lists every period of the reservation. The applied release will keep the reservation from it's original start through the selected end.
Freed / Keep
Read-only. Keep is how many periods you keep; Freed is how many you released.
State
Pending, Released, or Error. Yellow / green / red in the grid.

What Apply does to a Release

  • Full release: that reservation row on the contract is disabled (Enabled is deselected). The reservation is not deleted.
  • Partial + original row: the original is disabled; an enabled copy is inserted with Original Reservation off and length = Keep. Continuation is cancelled on the copy.
  • Partial + non-original row: shortened in place, Continuation cancelled the same way.
  • Partial is blocked if leftover Continuation extensions exist on a non-original row, or leftover contract extensions do not fit the keep window. Shorten or fully release those first.

Placements Table

Open a row for Continuation, extensions, and errors. The grid shows Replacement Store, Surface, Spaces, start/end, Placed On. † and ‡ mark extensions the same way as on Releases.

Replacement Store
Required. If the store is not Active you will see a warning; you can still place.
Surface / Spaces
Face (default) or Edge; 1 or 2 spaces. Match what you released unless you intend a different booking.
Store Reservations
Collapsible list of current reservations on that store.
Use Default Reservation Term

Default on. Length is the usual length among enabled contract reservations (the length used by more than half of them, or the most common length; a tie uses the contract Total Periods). Start is the contract start. Uncheck to edit start, length, and end.

End must equal start + length (inclusive: for cycles, end = start advanced length − 1 cycles).

Copy Continuation Settings
Default on. Copies Continuation, Cancel Continuation Pre-Commencement, and Continuation end from the contract. Those fields are read-only while this is checked.
Place with a contract extension / Place with a continuation extension

Optional. At most one of each per placement. Continuation extension is only available when Continuation is on.

Default contract-extension and continuation-extension start is the period after the placement end.

The extension start must fall within the reservation period or be contiguous with it. Issue Start/End is optional; if you set a start, end is required.

Clear Error
Visible when State is Error and Placement is set. Use when the store was placed but adding the extension failed: it treats the row as Placed without undoing the booking.

What Apply does to a Placement

If an enabled reservation on the same store / surface / spaces ends exactly when this placement starts, the terms are merged (an original row is copied first). Otherwise a new reservation row is appended with Original Reservation off.

Extensions are added on the Dividers Reservation after the contract save succeeds. If adding an extension fails, the placement itself is kept — use Clear Error.

Failed rows do not stop other rows. Apply All runs releases first, then placements, then one contract save.

Sales Invoice

The Sales Invoice menu is disabled unless Adjustment Status is Balanced and there are no Errors or Pending rows.

Generate Sales Invoice
Available when there is no live Contract-type Sales Invoice for this contract. Same as Create → Sales Invoice on the contract.
View Unsubmitted Sales Invoice
Available when a draft Contract-type Sales Invoice already exists.
Cancel Sales Invoice / Regenerate Sales Invoice
Available when a submitted Contract-type Sales Invoice exists.

Regenerate rebuilds the Contract Sales Invoice to match current reservation list and keeps existing payments attached:

  1. Finds the live Contract-type Sales Invoice (not cancelled).
  2. Records payment allocations, unreconciles them, and cancels the old invoice (it is not amended — you will see a new invoice name).
  3. Creates a new Contract Sales Invoice from the current contract.
  4. Re-allocates the same Payment Entry / Journal Entry amounts to the new invoice.

Only Contract-type invoices are targeted, not Artwork or Continuation invoices.

Note

When to regenerate (deposits, paid-in-full, tax) is a billing decision, not something the form enforces.

See also How To Create A Sales Invoice.

After Apply, Check the Contract

  • Original rows that were fully released or shortened: Enabled unchecked (they stay on the table).
  • New or shortened non-original rows: Enabled, Original Reservation off.
  • Linked Dividers Reservation documents update during save (progress phase Sync reservations). Store occupancy may take a moment to refresh.

Errors and Recovery

Clear Errors Field
Clears the parent Errors box and saves. Does not clear row errors.
Clear Error (placement row)
Only if Error and Placement is set: treat the row as Placed.
Re-apply
Open rows (not Released / not Placed) are attempted again.

Quoted messages and when they appear are in the Dividers Contract Reservation Adjustment reference.
